Executive Assistant 
School District No. 52 (Prince Rupert) is seeking a full-time Executive Assistant to work alongside a group of individuals dedicated to the education of students in Prince Rupert and the surrounding area. Job Summary: Reporting to the Secretary-Treasurer, the Executive Assistant will provide a variety of administrative and secretarial support services for the Superintendent of Schools, the Secretary-Treasurer, the Board of Education and other senior staff. The successful applicant will be responsible for performing highly sensitive and confidential administrative assignments while functioning in an environment with timesensitive issues occurring simultaneously. Applicants must be detail oriented and have an appreciation for accuracy. It is essential that the candidate has the ability to work independently with a minimum of supervision. The position requires confidentiality, diplomacy and superior information management skills. This is a full time position, 35 hours per week, in Prince Rupert, BC. Salary and benefits, including an attractive pension plan, are competitive and will be determined based upon experience and qualifications. Job Duties: Providing administrative co-ordination and secretarial organization for the office of the Superintendent of Schools, the Secretary-Treasurer and other senior staff. Scheduling, organizing and managing appointments and events, including trustee travel and facility bookings. School district website maintenance. Laserfiche electronic document management system maintenance. Annual Service Awards preparation. Reception duties, including answering the phone and first in-line for public inquiries. Scheduling a variety of meetings, Collecting and compiling cross boundary requests. Scholarship and bursary management. Ordering office supplies and maintaining office equipment. Sorting in-coming mail and preparing out-going mail. Arranging for mail maintenance with Canada Post during school breaks. Enter Purchasing details (Vendor quotes, Purchase Requisitions, Purchase Orders, Payments) using SDS and other software such as Excel) Invoice coding and budget tracking. Data entry, maintenance, and management of vehicle fleet and GHG consumption statistics. Other duties as assigned or required.
